Position Description:
The Assistant Property Manager is responsible for supporting the Property Manager to ensure the success of the building’s operations, physical condition and financial performance. The Assistant Property Manager must:

Strive to achieve the highest possible standards of building maintenance, cleanliness and building operations

Continually evaluate all phases of building operation in order to enhance the efficiency of the operation and maximize cost effectiveness

Ensure policies are observed and prompt corrective action is taken, as needed

Apply common sense understanding to carry out instructions furnished in written, oral, or diagram form

Apply creative solutions to various problems and communicate effectively to building owners, tenants, and employees

Utilize problem solving skills to solve problems with different variables in standardized
Position Duties:
Assist and coordinate Property Management services such as tenant functions, delinquent rent follow-up, or oversee the operating cost reimbursements

Assist in the provision of property services in accordance with standard processes and procedures including application of policies and programs, coordination of information

Maintain interface with third party owners (Landlords), ensuring total contract (Lease) compliance, accurate and timely reporting, and resolve critical impact tenant relations issues

Respond to tenant calls and emails in a timely manner to ensure positive customer relations

Supervise vendors (landscaping, janitorial, etc.) and maintenance staff

Assist with collection of property information and responding to informational requests as necessary

Assist Property Managers and/or Sr. Property Managers with the development of operating and capital budgets

Assist Project Managers and Property Managers to coordinate tenant improvement and capital projects

Assist Property Manager in developing building emergency and evacuation procedures and educating tenants continually

Interface with tenants and vendors in daily operations of the buildings

Performs additional job duties as requested
Position Requirements:
MINIMUM REQUIREMENTS
Bachelor’s degree or equivalent

At least two years of experience as a Property Assistant in a commercial environment (outside of residential and retail experience)

CPM or RPA designation in progress a plus

Lease administration and budget preparation experience preferred

Knowledge of basic business practices

Strong interpersonal skills and problem solving ability

Strong verbal/written communication and presentation skills

Proven record of excellent internal and external customer service

Intermediate knowledge of Excel and ability to analyze data
