Position Description:
SUMMARY: Assist in coordinating all areas of administration and management relating to the assigned building(s).
Position Duties:
The Property Assistant is responsible for meeting the needs of the Property Management Team. This individual will maintain a high level of professionalism in addressing Property Management issues including response to and resolution of any tenant requests or concerns.

Job Duties Include:
Provide full administrative support including phone support, typing, reports, filing and distribution of correspondence.

Schedule and coordinate meetings/special events as requested.

Assist Property Manager in all lease administration activities.

Maintain property keys and check out log.

Update and maintain property contact lists and emergency information for properties.

Prepare bid proposals and contracts.

Code property invoices for Property Manager approval.

Maintain property work order system. Includes: work order input & dispatching, tenant billing, assisting Director of Operations in closing work orders, time tracking and general reporting.

Maintain lease and property files.

Maintain all Certificate of Insurance for Contractors and Tenants

Maintain tenant handbooks and distribute as necessary.

Coordinate approval of leases, contracts, notices and other time-sensitive documents.

Promote and foster positive relationships with tenants, owners and staff.

Assist in annual budget preparation.

Generate reports (cleanable square footage, vacant space inspections, property inspections, etc.).

Assist in property inspections.

Assist Property Manager in annual Fire Drill Coordination. Include coordinating training sessions for building employees and Fire Department participation.

Order office and kitchen supplies as needed.

Handle other duties as assigned.
Position Requirements:
Candidate must possess 3+ years experience in basic office procedures and be familiar with lease documents and the work order process.

Four year degree preferred.

Proficient in Microsoft Word, Excel, Power Point, and Outlook.

Strong interpersonal skills; ability to maintain professional attitude in a sensitive environment.

Excellent verbal/written communications skills.

Strong organizational skills; detail oriented.

Proven record of providing excellent internal and external customer service.
