Position Description:

This position is primarily responsible for the creation and execution of sourcing strategies for Property and Project Management related services. In addition, this role will be responsible for ensuring contracting and procurement standards and overall vendor compliance are maintained throughout the portfolio. Other duties may include identifying and leading various sourcing initiatives aimed at improving performance or reducing cost as well as managing assigned supplier relationships as it relates to administrative and operational activities.
Position Duties:
• Oversee vendor pre-qualification, negotiation, selection, debriefing, performance monitoring, and feedback activities.
• Prepare formal client ready documents including reports and presentations.
• Establish and maintain appropriate client relationships.
• Ensure functional support to all lines of business, support areas, and other client groups.
• Ensure effective contracts planning, implementation and execution.
• Ensure data integrity of contract database to include: (a) maintenance and enhancement of central contract database, (b) administration and maintenance of physical and electronic contract files to ensure compliance with Lincoln Harris and client requirements, and (c) other related duties such as: administration of supplier files; keeping current, compliant certificates of insurance updated in the appropriate systems; and tracking amendments, letters, and other contractual documents.
• Coordinate with clients, support groups, and vendors to ensure: establishment and maintenance of adequate controls, compliance with contractual requirements, and utilization of best business practices, input and analysis in response to management inquiries regarding contract related matters, timely and professional contract administration support, active interface and support of field operations.
• Coordinate with the Supply Chain Manager, Legal and Risk Management groups, Property and Project Management groups to maintain consistency in form, nature, scope, and execution of contracts within guidelines and appropriate business practices.
• Work closely with team members in the Supply Chain Management group located in other geographic areas and will ensure processes and approaches are consistent across the account.
• Improve communications with operations team; provide management, detailed instruction, and continuous follow-up to support the operations teams in standardized RFP/bid and contract processes; proactively manage internal and external customer expectations.
• Assist in coordinating meetings with internal and external teammates to discuss Vendor Performance as required.
• Closely participate in and with the client and Lincoln Harris Property Management, Engineering, Project Management, Compliance & Critical Facilities teams to drive both immediate and sustained benefits to the client.
• Performs additional job duties as requested.
Position Requirements:
• Bachelor’s degree and a minimum of 4 years previous experience in supply chain management and service contracting.
• Excellent level of customer service skills and professionalism.
• Strong interpersonal skills; excellent verbal and written communication as well as presentation skills; ability to effectively communicate with all levels of management
• Excellent organizational skills with attention to detail
• Ability to be flexible to handle multiple and changing priorities; sense of urgency
• Ability to work independently and in a team environment
• Strong problem-solving skills; ability to recommend actions based on data analysis
• Demonstrates an advanced knowledge of Microsoft Excel; intermediate proficiency level with Word, Power Point, Access, and Outlook email
• Excellent working knowledge of pivot tables, vlookups, and other advanced Excel functionality
• Strong financial/analytical skills and problem solving ability; both qualitative and quantitative
• Self-starter with excellent time management skills; ability to meet deadlines in a fast paced team environment
• Ability to maintain a high level of professionalism and confidentiality
• Ability to maintain a proactive approach and a readiness to handle Client concerns and processes, as well as unexpected emergencies
• Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures or governmental regulations
• Ability to write reports, business correspondence and procedure manuals
• Ability to understand and communicate basic vendor insurance requirements
• Supply Chain certification preferred but not required
